Submissions

RIPE Meeting attendees are quite sensitive to keeping presentations non-commercial, and product marketing talks are strongly discouraged. Repeated audience feedback shows that the most successful talks focus on operational experience, research results, or case studies. For example, presenters wishing to describe a commercial solution should focus on the underlying technology and not attempt a product demonstration.

The RIPE Programme Committee (PC) accepts proposals for different presentation formats, including plenary session presentations, tutorials, workshops, BoFs (Birds of a Feather sessions) and lightning talks. See the full descriptions of these formats.

Presenters who are proposing a panel or BoF are encouraged to include speakers from several (perhaps even competing) companies and/or a neutral facilitator.

In addition to presentations selected in advance for the plenary, the RIPE PC also offers several time slots for “lightning talks”, which are selected immediately before or during the conference.

The following general requirements apply:

  • Proposals for plenary session presentations, BoFs, panels, workshops and tutorials must be submitted for full consideration no later than 20 August 2017, using the meeting submission system. Proposals submitted after this date will be considered on a space-available basis.
  • Lightning talks should also be submitted using the meeting submission system and can be submitted just days before the RIPE Meeting starts or even during the meeting week. The allocation of lightning talk slots will be announced in short notice – in some cases on the same day but often one day prior to the relevant session.
  • Presenters should indicate how much time they will require. See more information on time slot allocations per presentation format.
  • Proposals for talks will only be considered by the PC if they contain at least draft presentation slides (slides may be updated later on). For panels, proposals must contain a clear description, as well as the names of invited panelists, presenters and moderators.
  • Due to potential technical issues, it is expected that most, if not all, presenters/panelists will be physically present at the RIPE Meeting.
  • Presenters, working group chairs and RIPE Programme Committee members pay to attend the RIPE Meetings just like all other attendees. In extraordinary circumstances, the RIPE Chair can waive the meeting fee for presenters. These requests are dealt with on a case-by-case basis via pc [at] ripe [dot] net.
  • Following local Dubai legislation applied to all events in Dubai including the RIPE Meeting, all those who appear on the event agenda as speakers will be asked to upload, via a secure webform provided by the RIPE NCC, the following details:
    • Passport number
    • Date of birth
    • A short biography (at least 60 words)
    • If resident of UAE, an uploaded copy of their Emirates ID

    The RIPE NCC will pass this data on to the DTCM. The RIPE NCC will delete all data collected one week after the RIPE 75 Meeting. See more information on DTCM requirements.

Presentation tips

Here are some suggested guidelines on presentation preparation to help ensure easy-to-read and easy-to-understand information on your slides:

  • Limit the number of slides to avoid information overload
  • Use less text and a larger font size
  • Use a standard, easy to read font, such as Helvetica or Arial
  • If you are using a Keynote presentation, please ensure that the “Include preview in document” checkbox is selected when saving your presentation.
  • If you are worried about how your presentation will display, the safest option is to upload your slides in .pdf format.
  • Presenters are encouraged to test their presentation before they present. The computers in the Terminal Room are configured with the same software as the presentation Mac minis. If your presentation displays correctly on these terminals, it will display correctly on the big screen.

Notes for presenters

  • You may have remote participants following your presentation online and they might want to ask you a question at the end of your presentation. There could be up to a 10-second delay via the webcast, so be sure to allow enough time between asking for questions from the audience and ending your presentation to give the chat monitors in the room enough time to get to the mic and relay the question.
  • You are able to present from your own laptop (though please use the presentation upload system if you can). There is an HDMI cable on the podium if you want to connect your laptop. If your laptop doesn’t support HDMI, please be sure to speak with a member of the RIPE NCC Technical Crew well in advance of your presentation slot to find the best solution.
